Terms & Conditions of Hire
Our booking terms, payment policies, and equipment hire conditions.

These Terms and Conditions apply to all bookings made with Bar Hire UK Holdings LTD, trading as Bar Hire UK ("the Company", "we", "us") by the client ("the Hirer", "you"). By booking our services or equipment, you agree to be bound by these terms.
1. Definitions
- "The Company" refers to Bar Hire UK Holdings LTD (trading as Bar Hire UK), located at Wixford Road, Alcester, Warwickshire, B50 4LG.
- "The Hirer" refers to the person, company, or organisation booking the equipment or services.
- "Equipment" refers to mobile bars, kegs, dispensing systems, coolers, glassware, and any other items supplied by the Company.
- "Hire Period" is the duration from delivery/setup to collection.
2. Booking & Payment
2.1 Deposit
A non-refundable deposit (typically 25% of the total quote) is required to secure your booking date. No booking is confirmed until this deposit is received.
2.2 Balance
The remaining balance must be paid in full no later than 14 days prior to the event date.
2.3 Late Bookings
Bookings made within 14 days of the event must be paid in full at the time of booking.
2.4 VAT
All prices quoted are subject to VAT at the current prevailing rate unless otherwise stated.
3. Security Deposit
3.1 Requirement
For "Dry Hire" (equipment only) and glassware hire, a refundable security deposit may be required.
3.2 Deductions
We reserve the right to deduct from this deposit for:
- Loss or damage to equipment.
- Missing glassware or crates.
- Extra cleaning required beyond standard use.
3.3 Refund
The balance of the security deposit will be returned within 7 days of collection, following a satisfactory inspection of the goods.
4. Cancellations
In the event of cancellation by the Hirer, the following charges apply:
- More than 30 days notice: Loss of booking deposit only.
- 14 to 30 days notice: 50% of the total hire fee.
- Less than 14 days notice: 100% of the total hire fee.
5. Delivery, Setup & Access
5.1 Access
The Hirer must ensure suitable access for our vehicles and staff. Unless previously agreed, delivery is assumed to be to the ground floor with no steps or difficult terrain.
5.2 Delays
If setup is delayed due to poor access or the venue not being ready, additional labor charges may apply (£50 per hour).
5.3 Parking
The Hirer must provide or pay for suitable parking for our delivery vehicles during setup and collection.
5.4 Site Readiness
For keg hire, the Hirer must ensure a stable, flat surface and access to a standard 13-amp power socket within 2 meters of the bar location (if cooling equipment is hired).
6. Equipment Use & Liability
6.1 Ownership
All equipment remains the property of Bar Hire UK Holdings LTD at all times.
6.2 Care
The Hirer is responsible for the safe custody of equipment during the hire period. You must insure the equipment against theft, loss, or damage while it is in your possession.
6.3 Damage
Any damage caused by misuse, neglect, or guest behaviour will be charged to the Hirer at the full replacement cost.
6.4 Malfunction
In the rare event of equipment failure, you must contact us immediately on 0800 861 1471. We will attempt to repair or replace the item. We accept no liability for loss of trade or beverage stock due to equipment failure if we are not notified immediately.
7. Glassware & Breakages
7.1 Returns
All glassware must be returned empty and placed upright in the crates provided.
7.2 Cleaning
If you have booked "Dirty Return," simply empty the glasses. If not, glasses must be rinsed.
7.3 Breakages
Broken or missing glasses will be charged at the current replacement rate (typically £2-£5 per glass depending on style).
8. Licensing & Alcohol
8.1 Responsibility
For "Dry Hire" or "Staff Only" hire where the Hirer supplies the alcohol, the Hirer is responsible for obtaining any necessary Temporary Event Notices (TENs) or licenses required for the sale or supply of alcohol.
8.2 Paid Bars
Where Bar Hire UK provides a cash/card bar service, we will operate under our own Personal License and arrange the necessary TENs (subject to venue restrictions).
8.3 Right to Refuse
Our staff reserve the right to refuse service to any person who appears intoxicated, under 18, or abusive.
9. Force Majeure
We accept no liability for any failure to supply services where such failure is caused by events beyond our reasonable control (e.g., extreme weather, road closures, pandemics, or vehicle breakdown). In such cases, our liability is limited to a refund of the hire fee.
